The starting point

Two leaks your clinic isn't tracking

Most clinics spend money attracting new patients and leave untouched the two assets they've already paid for: the patients who once came in, and the inquiries that arrive after hours.

Leak 01

The dormant patient list

Every patient who stopped coming cost money to acquire. They're still in your records, with their phone number and last treatment, and nobody on your team has a spare hour to call them one by one.

That's revenue you already paid for, sitting idle.

Leak 02

The inquiry that goes cold

An inquiry answered in ten minutes and one answered the next day are not worth the same. Evenings, weekends and rush hours are exactly when nobody can pick up the phone.

By the time you reply, they've already checked two other clinics.

Neither one gets fixed with more advertising. They get fixed by replying on time and following up, every single day.

The Appointment Engine

One system. Four parts that feed each other

1

Automatic reactivation

We segment your patient list by treatment and time since the last visit, and reach out to people who haven't been in for months with a reason that fits their history. Always in controlled batches.

2

Replies to new inquiries

Answers in seconds, at any hour, using your services, your prices and your protocols.

3

Reminders and confirmations

Every appointment it books comes with a reminder. It's included, not an add-on.

4

Reviews and referrals

Requested after the visit. This is what keeps the system running once your patient list has been worked through.

The loop closes itself An appointment starts in part 1 or part 2, goes through part 3 and ends in part 4. Then part 4 sends new inquiries back into part 2. That's why, from the third month on, you get patients you didn't pay to acquire. WhatsApp and only there ReactivationNew inquiriesRemindersReviews &referrals 12 34

The loop closes itself

An appointment starts in part 1 or part 2, goes through part 3 and ends in part 4. Then part 4 sends new inquiries back into part 2. That's why, from the third month on, you get patients you didn't pay to acquire.

The agent books the appointment. You stay in control

It doesn't ask permission for every booking: it books it and notifies you right away, with a button to change it. Your front desk stops typing in appointments and starts overseeing them.

Five rules it never breaks

  • It only works within the time slots and treatments you define.
  • It checks availability before booking and checks again afterward. No double bookings.
  • It never touches appointments your team creates. It only manages its own.
  • It notifies you instantly of every booking, change or cancellation, with a button to adjust it.
  • If something doesn't add up, it doesn't improvise: it stops and alerts a person.
We don't message your regular patientsWe don't give clinical adviceWe don't touch your practice softwareWe don't run your ads

Four fixed boundaries. The agent never crosses them.

Recreated example
Hi Megan, this is Laura from Example Clinic. I noticed your last session was back in December, and this month we're doing follow-up checkups in case you'd like to pick up where you left off.
Hi! I stopped because it was a bad time for me. How much would it be to start again?
The follow-up consultation is free: they'll tell you how many sessions you have left and the exact price, no commitment. I have Tuesday 5:00 PM, Thursday 11:30 AM or Friday 6:30 PM. Which works best for you?
Thursday at 11:30.
You're all set, Megan: Thursday at 11:30 AM, follow-up consultation. I'll send you a reminder the day before.

Getting started

Four phases. We handle everything

This isn't an off-the-shelf product. The assistant is designed around your services, your prices and the way you work, and we build it for you from start to finish.

  1. 01 15 min

    Analysis and customization

We study your clinic: which treatments drive revenue, how patients find you today and what's sitting dormant in your patient list. That tells us exactly how the assistant should work for you.

  2. 02 2–3 weeks

    Custom build

We build and configure your assistant with your services, prices, hours and protocols, and connect it to your calendar. We only need one session with you to learn how your team works.

  3. 03 Weeks 3–4

    Your assistant goes live

It starts answering and booking. For the first two weeks we review every conversation one by one and fine-tune whatever's needed before scaling up.

  4. 04 Every month

    Ongoing support

We stay on top of it: we adjust messages, add treatments, handle whatever comes up and send you the numbers. We don't just set it up and leave you on your own.

Timelines start once we have your patient list export and access to your calendar. Getting your clinic verified by Meta is the only step that doesn't depend on us.

Pricing and zero risk

You start without paying a thing

Everything you'll ever pay is in this section. There's no fine print because there's nothing else to add.

$0

Setup

No setup fee.

$379/mo

Monthly fee

All four parts, the reminders and the dashboard. Everything included.

6

Month commitment

That's the trade-off for not charging you for setup.

You don't pay until the system books your first two appointments. If it doesn't, there's no invoice.

WhatsApp messaging is billed by Meta, not by us

The cost depends on how many messages you send and is charged to your account, not ours. The number, the account and the conversations are yours: if you ever leave, you keep all of it.

Why there's a minimum term

This is a process, not a switch you flip. Six months is what it takes to work through your patient list, fine-tune the assistant with real conversations and get reviews and referrals bringing in patients on their own. It's the window in which the system has to prove itself, which is why we do the heavy lifting upfront and don't charge you for setup.

With an average treatment value of $250, the system pays for itself with 1.5 appointments a month. Reference figure based on a $250 average treatment. Plug in your own numbers.

The questions that always come up

Can the agent add an appointment to my calendar without me knowing?

Add it, yes: that's what it's for. Without you knowing, no. As soon as it creates, moves or cancels an appointment, you get a WhatsApp alert with the details and a button to change or undo it. And it only books into the time slots and treatments you've opened up for it. Anything else is off-limits.

Could it double-book or overwrite an appointment I already have?

It checks the slot before booking it and checks again right after. It never touches appointments created by your team, only its own. And if it detects a conflict, it doesn't try to resolve it on its own: it stops and alerts a person.

Can patients tell it's a bot?

Some can. Almost nobody minds, because what they want is an answer and an appointment time. It introduces itself with your clinic's name, writes the way your team writes and never pretends to be a doctor. If someone asks directly whether they're talking to a person, it doesn't lie: it tells them and hands them over to someone on your team.

What if it says something it shouldn't?

It only talks about what you've given it: your services, your prices, your protocols. Outside of that it doesn't make things up; it stops and hands the conversation to a person. On top of that, for the first two weeks we read every single conversation.

Will you message my regular patients?

No. We only talk to people who aren't patients yet and to those who haven't been back in months. Your relationship with your regular patients is yours, and it stays that way.

Won't this annoy my patients?

It would if we messaged everyone at once for no reason. That's why we work in segmented batches: we only reach out to people it makes sense to contact, with a reason that holds up, and we don't keep pushing. Every message includes an opt-out, and anyone who uses it never hears from us again.

What happens to my patients' data?

We sign a data processing agreement: your clinic owns the data, and we only process it for this purpose and on your instructions. We operate under the GDPR, the European privacy law, which treats health data as a special category (Article 9). That's why the system works with the bare minimum: name, phone number, treatment and dates. No medical records ever go into the agent. When the contract ends, the data is returned or deleted.

Do I have to switch my practice management software?

No. We integrate with what you already use. If your software doesn't allow a connection, we work with your calendar and an export of your patient list, and we confirm that before you sign, not after.

Who controls the WhatsApp number?

You do. The account is opened in your clinic's name, with your payment method for messaging. We have technical access to run the system, and that access is removed the day you ask.

What if I want to leave after six months?

Then it ends, simple as that. Just let us know before the sixth month is over: no hidden auto-renewal and no cancellation fee. You keep the number, the WhatsApp account, the conversations and the appointments. The only thing that gets switched off is the agent.

Let's talk for 15 minutes

We go over your numbers with you and tell you whether the system fits your clinic and what it would take to pay off. If it's not a fit, we'll tell you right then and there.
