Can the agent add an appointment to my calendar without me knowing?
Add it, yes: that's what it's for. Without you knowing, no. As soon as it creates, moves or cancels an appointment, you get a WhatsApp alert with the details and a button to change or undo it. And it only books into the time slots and treatments you've opened up for it. Anything else is off-limits.
Could it double-book or overwrite an appointment I already have?
It checks the slot before booking it and checks again right after. It never touches appointments created by your team, only its own. And if it detects a conflict, it doesn't try to resolve it on its own: it stops and alerts a person.
Can patients tell it's a bot?
Some can. Almost nobody minds, because what they want is an answer and an appointment time. It introduces itself with your clinic's name, writes the way your team writes and never pretends to be a doctor. If someone asks directly whether they're talking to a person, it doesn't lie: it tells them and hands them over to someone on your team.
What if it says something it shouldn't?
It only talks about what you've given it: your services, your prices, your protocols. Outside of that it doesn't make things up; it stops and hands the conversation to a person. On top of that, for the first two weeks we read every single conversation.
Will you message my regular patients?
No. We only talk to people who aren't patients yet and to those who haven't been back in months. Your relationship with your regular patients is yours, and it stays that way.
Won't this annoy my patients?
It would if we messaged everyone at once for no reason. That's why we work in segmented batches: we only reach out to people it makes sense to contact, with a reason that holds up, and we don't keep pushing. Every message includes an opt-out, and anyone who uses it never hears from us again.
What happens to my patients' data?
We sign a data processing agreement: your clinic owns the data, and we only process it for this purpose and on your instructions. We operate under the GDPR, the European privacy law, which treats health data as a special category (Article 9). That's why the system works with the bare minimum: name, phone number, treatment and dates. No medical records ever go into the agent. When the contract ends, the data is returned or deleted.
Do I have to switch my practice management software?
No. We integrate with what you already use. If your software doesn't allow a connection, we work with your calendar and an export of your patient list, and we confirm that before you sign, not after.
Who controls the WhatsApp number?
You do. The account is opened in your clinic's name, with your payment method for messaging. We have technical access to run the system, and that access is removed the day you ask.
What if I want to leave after six months?
Then it ends, simple as that. Just let us know before the sixth month is over: no hidden auto-renewal and no cancellation fee. You keep the number, the WhatsApp account, the conversations and the appointments. The only thing that gets switched off is the agent.
